Job Description - Support Specialist

The Support Specialist advances ART Inc. programs by providing day-to-day participant support, classroom/event setup, accurate data entry and documentation, safe transportation between sites, and clear communication with families, partners, and staff. The role ensures a welcoming, well-run environment that supports high-quality services in alignment with ART Inc.'s mission and program standards.

Duties and Responsibilities

The duties listed below illustrate the variety of work performed. Other similar or related duties may be assigned.

Programs
  • Prepare, set up, and reset classrooms and program spaces; ensure materials and equipment are ready.
  • Greet participants, families, guests, and visitors with a professional, welcoming demeanor; provide assistance and wayfinding.
  • Support teaching artists and staff in delivering engaging, age-appropriate activities (e.g., theater, ceramics, dance, music, sewing, cooking, STEAM).
  • Maintain a safe, orderly environment; follow youth-safety protocols and immediate incident reporting procedures.
  • Assist with recruitment and enrollment; distribute flyers/brochures; collect completed forms.
  • Collaborate with Program Director and site leadership to plan, implement, and continuously improve daily programming.
Administrative
  • Record and maintain daily attendance, sign-in/out, and case notes; ensure timely, accurate data entry in approved systems.
  • Provide daily/weekly updates to Program Director (and HR as requested); escalate issues promptly.
  • Complete routine administrative tasks (e.g., supply requests, basic reports, outreach follow-ups).
  • Support evaluation efforts by gathering participant data and documenting program activities.
Events, Performances, Concessions
  • Staff ART Inc. events (e.g., Carnaval) including setup/breakdown, registration, concessions, and participant/guest support.
  • Provide up-to-date information on programs; encourage mailing list sign-ups and community engagement.
  • Attend indoor/outdoor community and recruitment events; ensure proper packing of materials, full staffing, and smooth logistics.
Transportation (Van Operations)
  • Safely operate ART Inc. vans to transport participants, staff, and/or program supplies between sites.
  • Complete pre/post-trip inspections, fuel/cleanliness checks, and maintain a vehicle log.
  • Ensure seatbelt use, adhere to capacity limits and approved routes; no handheld device use while driving.
  • Follow ART Inc. Vehicle Use Policy and youth transport protocols; report any incidents immediately and complete required documentation.
Qualifications
  • Required: High school diploma or GED; 1+ year experience in youth services, after-school programs, community programs, or administrative support.
  • Preferred: Coursework/degree in education, social services, arts, or related field.
  • Demonstrated ability to work effectively with diverse cultures and populations; skill in de-escalating behavior and supporting positive climate.
  • Strong organization, time management, and documentation skills; clear written and verbal communication.
  • Tech proficiency: Microsoft 365/Outlook, OneDrive/Google Workspace; Canva or willingness to learn; ability to use basic data systems.
  • Team-oriented, dependable, and able to take initiative while following established procedures.
  • Must be at least twenty-four (24) years of age, in accordance with ART Inc.'s vehicle insurance requirements
  • Valid driver's license and an insurable driving record; ability to pass a Motor Vehicle Record (MVR) check (required prior to driving ART Inc. vehicles)
  • Ability to pass a background check prior to engagement.

Supervisor Relationship

The Support Specialist receives direction from the Program Director (day-to-day coordination may involve site leads and HR for compliance/documentation). The Support Specialist is accountable for timely communication, accurate recordkeeping, and adherence to program standards.

Work Environment

This is an on-site, multi-site role primarily at The Romain Arts & Culture Center (The RACC) and designated community/school locations. Work generally takes place in multiple locations and may require independent travel to Peoria Public Schools sites and community partners. Occasional evenings and weekends may be required for events and deadlines.

Mental and Physical Requirements

Physical effort is light, with lifting or carrying up to 25 pounds intermittently, as well as frequent walking and stair use. Work includes extended periods of computer use, supporting groups, and periodic driving between sites. At times there may be pressure associated with participant needs, events, or activity deadlines.
